Job Description:

Position Summary:
Provide departmental administrative support.

Essential Functions:

  • Answer telephones and transfer to appropriate staff member.

  • Meet and greet clients and visitors.

  • Create and modify documents using Microsoft Office.

  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.

  • Maintain hard copy and electronic filing system.

  • Sign for and distribute UPS/Fed Ex/Airborne packages.

  • Research, price, and purchase office furniture and supplies.

  • Coordinate and maintain records for staff office space, phones, parking, company credit cards and office keys.

  • Setup and coordinate meetings and conferences.

  • Maintain and distribute staff weekly schedules.

  • Collect and maintain PC inventory.

  • Support staff as directed.

  • Maintains market information (e.g. calendar, contacts list, org chart, etc)

  • Assists in special projects (e.g., bulk mailings, invitations for special events, etc.)

  • Develops office supply ordering procedure and maintain supplies for the market

  • Processes incoming mail for the market

  • Serves as initial point of contact for the market to route incoming calls to appropriate staff

  • Records and delivers messages accurately and timely

  • Processes expense reports for office operations

  • Assesses office needs and interacts with the landlord for intervention as directed

  • Maintains neat and organized filing systems

  • Other tasks as assigned

    Required Education and Experience:

  • High School Diploma required; some post high school training in office management and/or Human Resources preferred.

  • Minimum 2 years experience in health care environment such as physicians office or hospital

    Required Knowledge, Abilities and Skills:

  • Proficiency in Medical Terminology and coding

  • Proficiency with Microsoft Office

  • Excellent written and verbal communications skills

  • Multitasking with ability to prioritize

  • Maintains patient information per HIPAA guidelines

  • Ability to perform tasks with minimal supervision, a high level of accuracy, and strong attention to detail
