Job Description Job Description ?Assist section supervisor with administrative functions ?Function as an administrative assistant ?Prepare and/or facilitate documents for signature ?Schedule meetings and work calendar issues ?Travel arrangements ?Create expense reports ?Answer phone/take messages ?Assist supervisor with Word, PowerPoint, and Excel as needed ?Organize office as necessary ?Track section payroll and time writing ?Prepare bi-monthly payroll exception reports ?Review section timesheets prior to supervisor approval ?Create new jobs as required ?Add job numbers to timesheets ?Maintain section files (digital and paper) ?Process invoices ?Review expense reports prior to supervisor approval ?Calendar meetings and arrange meeting rooms for section staff members ?Luncheon and catering arrangements (candidate presentations, section meetings, anniversaries, retirements, etc.) ?Maintain office supply inventory ?Maintain or request maintenance for section offices and common areas ?Prepare arrival of new section employees ?Arrange office set-ups and computers for new hires, interns, and visitors ?Obtain security badges ?Facilitate new arrival check-list ?Facilitate exit check-list for departing employees ?Disperse section-wide mail-outs to section mailboxes ?Cover for Function Admin and the other section admins when they are absent ?Assist in the organization and coordination of function-wide activities Job Skills / Background / Software Requirements: ?Proficient skills in Microsoft Word, Excel, Powerpoint and email calendar functions ?Coordination and teamwork skills ?Organizational skills (e.g., focuses own work on project priorities) ExxonMobil is an Equal Opportunity Employer Job Location Houston, TX CB*Office Location TX-Houston-Southwest
