Performs diversified administrative and customer service duties requiring broad experience, skill and knowledge of organizational practices and processes. Relieves department members of clerical work, administrative and business detail by performing the following duties. Essential Duties and Responsibilities General administrative support including, but not limited to, answering incoming customer calls, preparing reports, presentations, scheduling appointments, coordinating travel arrangements. Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer. Facilitator between customer, both internal and external, and department. Composes and types routine correspondence. Organizes and maintains file system, and files correspondence and other records. Answers and screens manager's telephone calls, and arranges conference calls. Coordinates department members schedules and makes appointments. Arranges and coordinates travel schedules and reservations. Conducts research, and compiles and types statistical reports. Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings. Makes copies of correspondence or other printed materials. Prepares outgoing mail and correspondence, including e-mail and faxes. Orders and maintains supplies, and arranges for equipment maintenance. Lease facilitation, management and payment processing. JDE pricing updates and adjustments. Manage the Sales center SharePoint site. Organizational change documentation Manages the Sales Center 800 phone number. Front desk support Prepare, route and track various financial documents. Personnel record maintenance (vacation/expenses/misc.). Skills/Experience Requirements Must have several advanced skills: analytical, problem solving, customer service, interpersonal, oral and written communication, teamwork, quality management, ethics, organizational support, judgment, motivation, planning/organizing, adaptability, attendance and punctuality. Self directed, with the ability to manage multiple tasks successfully. Excellent telephone communication. Customer service skills?"must be capable to handle customer complaints and issues in a satisfactory matter, with poise, tact and diplomacy. Good working knowledge of MS Office applications, MS Outlook and data entry. Use of PC, copier, fax, 10-key, printer. It is an essential function of this job to show up on time and be ready to work your regularly scheduled hours. Education Requirements High school diploma or equivalent. 1 - 2 years administrative assistant experience. Minimum 1 year in customer service and/or sales arena and possess a good understanding of customer service philosophy. Ability to communicate directly with internal and external customers in a professional manner. Ability to use JD Edwards functionality effectively.
