Responsibilities

As a member of the Deans Office, the Event Managers primary area of responsibility is to plan, manage and execute logistics for a broad range of events in size and audience for the College of Professional Studies (CPS). In addition to hosting bi-annual College graduation ceremonies, CPS also hosts various events throughout the year such as faculty meetings and conference events for the Dean. The incumbent will also be responsible for operational, implementation and post-event activities.

As the Event Manager, s/he works with internal constituencies (e.g., the Dean, Associate and Assistant Deans, Directors, University Counsel) and external constituencies (e.g., caterers, vendors for audio-visual, location, guest speakers) to determine pre-event details and execute them independently to deliver high quality events (e.g., define nature of event; develop guest list; negotiate terms of contractual agreements; determine decor; determine staffing needs). S/he will be on-site for each event, which can be held in the evening or weekend, and manage the event in progress including on the spot problem-solving and managing issues as they arise. S/he will design and lead post-event debriefing sessions and evaluations. S/he will establish and document best practices in event planning and management to be used in future events.

In addition to event planning and management, the Event Manager will provide administrative support to the Dean on special projects and supervise a part-time office support staff member who will provide daily support to the office, e.g., mail, supplies.

Qualifications

The position requires a mature, poised, professional who can facilitate an intense workload and produce quality results in a fast paced environment.
- Bachelors degree required in business, marketing or related field with 4-6 years experience in event management
- Experience in higher education, preferred. Experience planning graduation ceremonies a strong plus.
- A self-starter who is highly motivated
- Must be able to manage multiple programs/projects simultaneously with ease and efficiency
- Think and work independently and analytically
- Effective time management; highly organized and detail oriented
- Superior communication, planning and client service skills
- Demonstrated integrity, dependability, sound judgment, teambuilding and resourcefulness to establish and maintain collaborative, positive, and effective working relationships with multiple and diverse constituency groups, e.g., university administrators, faculty, staff and students, as well as with business partners and service providers of varied backgrounds
- Ability to listen carefully to understand, respond, and problem-solve efficiently and effectively to address concerns and interests of University constituents, guests, vendors, community representatives, and other clients as needed
- Strong computer skills, esp. in MS Office suite products, e.g., Word, Excel, PowerPoint, Publisher

- Ability to work on some evenings and weekends is required
- A valid drivers license may be necessary for travel
