We are looking for an Executive Assistant to support the work of the CEO and the president of a privately owned Marketing company in NYC. The ideal candidate will be able to effectively manage and support the firm’s CEO and president to achieve results.​ You must have have a strong work ethic, commitment to clear goals and measureable outcomes, an ability to learn quickly and work well with others.​ Reporting to the CEO, the Executive Assistant will be responsible for maintaining the CEO’s calendar, filings, day to day office operations, including, being the point person to outside senior level
executives.

Responsibilities:

  1. Maintain extensive calendar and contact data base for business and coordinate with calendars of other executives and organizations
  2. Schedule and contribute to meetings, conference calls and other events and coordinate/​set-up logistics for CEO
  3. Extensive domestic and foreign travel which needs to be coordinated with other members of the institute that change on frequent basis based on busy schedules
  4. Ensure that CEO is prepared, organized and ready for all meetings and events (including reviewing advance information provided to CEO, summarizing information, and maintaining constant communication with CEO)
  5. Act as point of contact or representative for CEO and the company’s investors at designated activities
  6. Coordinate advance preparations for presentations, meetings and events, and at request of CEO
  7. Management of incoming calls and mail as well as oversight of expense report and ensuring the office and conference rooms are prepped and ready for arrival of investors or dignitaries and related functions
