Basic Function of the Job:

Oversee the day to day projects and personnel within the department. Interface and communicate daily with client, resolve issues, plan and staff workflow, monitor quality of images produced, adhere to department and company standards, monitor timelines and profit results.

Major Responsibilities and Duties:

·        Manage and monitor department workflows

·        Ensure all client standards are maintained which includes Turn Around Times (TAT) and Quality Standards per contract

·        Follows Statement of Work (SOW) as described in the contract

·        Continued building of client relationships through exceptional problem-solving, ownership and follow-through, ensuring client inquiries and escalations are handled in a timely and professional manner

·        Supervision of department employees and temporary staff

·        Develop a high performance team by acting as coach and mentor to staff

·        Performance and productivity management

·        Ensure that documents are properly scanned (quality control, adjustment of settings, indexing of pre-selected fields, data transfer);

·        Ensure that tasks are carried out promptly, precisely, and with attention to detail

·        Maintain an established profit margin for the site managed

·        Responsible to complete Daily, Weekly, Monthly Productivity Reporting to Senior Management

·        Payroll processing Bi-Weekly of production and hourly information on the company Intranet website and will send timely the required payroll reports to the Human Resource Department

·        Trains and develops all new employees to ensure that all proper procedures are followed and the importance of client confidentiality is understood as well as any and all HIPAA training is completed

·        Ensures that all hospital requirements are met by new employees

·        Ability to lead multiple work shifts of employees

·        Ability to manage and develop Supervisors in an effective manner

·        Assure that scheduling of production employees work hours are sufficient to meet client needs

·        Responsible to report to General Manager any requests made by client to perform work outside of the SOW outlined in contract.

·        Creates and reviews for accuracy all the end of month billing reports and then sends electronically to the corporate office in a timely manner for invoicing purposes

Reports to:       General Manager

Supervises:      Leads, Image Techs, Clerks, Couriers

 Requirements
·        Medical Records experience is highly desirable
·        Document Conversion experience required
·        Client Service oriented with proven experience

·        Ability to communicate effectively and professionally in an oral and written format

·        Experience in managing and/or supervising employees, minimum of 2 years

·        Proven experience in managing multiple tasks

·        Strong organizational capacity and the ability to prioritize

·        A strong desire to work with and build an outstanding team environment

·        One to five years of work experience in document conversion

·        Computer skills (intermediate to advanced) this would include Microsoft Office Products, Windows Operating System, electronic email, Internet and Intranet experience.

·        Software knowledge (PaperFlow, PaperVision, Kofax Ascent Capture software, Adobe Acrobat, Microsoft Office Products in particular WORD and Excel, Time Clock Manager)

·        Concentration, precision, good visual acuity, and attention to detail

·        Ability to carry out physical tasks, such as lifting and moving objects weighing an average of 35lbs.

·        Flexible with work schedule hours and days of week

·        Desirable to have a College Bachelors Degree
