- Answer main switchboard
- Maintain and update Voice Response phone database for office
- Schedule/book conference rooms and coordinate video conference requests
- Oversee Security Access system for the office. Activate new/loaner/replacement cards, deactivate lost/terminated cards
- Liaison with building management for repairs, maintenance and building related issues.
- Greet guests and visitors
- Oversee Asset Management for office. Receive incoming equipment and assets, tag and log in FAS system
- Process purchase orders and audit invoices for payment
- Meet weekly with cleaning co to review janitorial services
- Oversee vendors including:
- Plant Maintenance
- Coffee Service
- Fruit/Snack delivery
- Cleaning service
- Copier/Printer maintenance
- Filtered water
- Soda orders and delivery
- Office supplies
- Floor cleaning/buffing
- Security access provider
- Shredding service
- Paper supplier
- Manage, order and stock office supplies.
- Stock kitchen daily. Clean and organize kitchen after lunch and at COB
- Plan and maintain CPR/AED training
- Coordinate internal moves, maintain seating chart and new hire set up
- Process outgoing mail and sort/deliver incoming mail
- Process FedEx shipments. Receive incoming packages, log and deliver. Stock shipping supplies
- Inspect and organize conference rooms daily
- Clean vacated workstations
- Provide support to various departments for special projects/events with planning and set-up
- Plan catering for office wide functions
- Order letterhead, envelopes, and print material, business cards.
- Audit databases on a quarterly schedule (Voice Response, Office Security, Org chart)
- Maintain and organize master key box for offices and desks.
- Manage the overall maintenance and smooth operation of the office
- The position requires someone who is very punctual and does not provide for a flexible schedule.
- Assist Facilities Department manager with overall corporate objectives for the department
- Hours: 8:00-5:00 M-F
- Bachelor's Degree Preferred
- At least 4 years in an Office Administrator/Manager position
- Excellent Interpersonal skills
- Problem solving and decision making skills
- High attention to detail
- Strong verbal and written communication skills
- Strong proficiency in Microsoft Office Suite: Outlook, Excel, Calendar, etc
- Highly organized
