Provide administrative support to the Vice President of Compliance and play an integral role in the daily operation and management of the Compliance Department. Coordinator will also provide administrative support to other members of senior management. Must be proficient in Excel.

 

Essential Functions:

·        Responsible for tracking all the Compliance Departments recertifications for affordable housing market.

·        Assists the VP of Compliance in the management of his/her schedule utilizing MS Outlook.

·        Provide administrative support in a variety of tasks included, but not limited to, telephone coverage, fax and mail, supplies control, correspondence, events/meeting planning, report generation, invoice/expense reporting, database management.

·        Utilize MS Office applications to generate correspondence, reports, charts, tables, graphs, spreadsheets, business plans, etc.

·        Work either independently or within a team on projects. May act as project manager.

·        Successful candidates will be very responsible, flexible, detail oriented, highly organized and deadline driven.

·        Candidates must exhibit a history of multitasking and the ability to appropriately prioritize tasks.

·        Strong oral and written communication skills.

·        Demonstrate strong initiative and high level of professionalism.

 

Requirements:

·        Tracks and maintains annual inspection schedules and organize documentation in appropriate binders (LIHTC, PMR/MOR, REAC, etc.) Ensures response deadlines are met.

·        Initiates renewal and prepares rent schedules, Housing Assistant Payment contracts, Section 8/HUD documents and rent increase related documents.

·        Reviews processes and follows up on ADA reasonable accommodation requests.

·        HUD duties: Manage and ensure compliance with HUD requirements which include tracking monthly voucher submissions/payments; submitting approved Excess Income Reports; notifying Property Manager of occupancy reporting requirements.

·        Prepares year end auditing package information and annual LIHTC reporting

·        Assists with reviewing databases for accuracy and ensures Property Managers maintain data per program requirements *DHCD, MassAccess, etc.)

·        Assists with preparing management plans, entity profiles and management agent certifications for new acquisitions/refinancing of existing portfolios.

 

Additional Duties Supporting Senior Management:

·        Assists with budget preparation, compiling annual budget documentation, submitting budgets to agencies, lenders, owners.

·        Sends audited financial statements to appropriate parties.

·        Prepares for asset management meetings.

·        Maintains expense report log, Box Score report and community list.

·        Compiles/maintains manuals for new managers and training purposes.

·        Assists with time card processing, quarterly bad debt reports, review forms and audit responses.

·        Other duties as directed.

 

Education: Associates degree or equivalent experience (business management, operations, administrative support desirable)

 

Qualifications, abilities and skills:

·        Advanced proficiency with MS applications including Excel, Outlook, PowerPoint and Word.

·        Strong project management skills required.

·        Ability to work autonomously with minimal supervision.

·        Familiarity with real estate/property management industry desirable.

·        Basic proficiency with Yardi preferred.

·        Fluent in English. Basic math skills required for income computations and budget preparations.

·        Strong oral and written communications skills. Highly organized and detail oriented.

·        Ability to work in a fast paced environment where priorities change daily.

·        Deadline driven.

·        Demonstrates strong initiative and high level of professionalism.
