Accounting Officer, Entitlement Processing
POSITION SUMMARY:
The Accounting Officer - Entitlements is responsible for the distributions on all Dividends and interest payments on Equities, Government of Canada Bonds, Municipal Bonds, Corporate Bonds, UK/US Treasury Bonds, Provincial Bonds and GICs. The incumbent verifies the dividends/ interest rates, currency, tax implications with CDS/DTC, Euroclear, Bank of NY, and Clearstream. The incumbent ensures that all entries are correctly processed and each issue is completely balanced. The incumbent responds to inquiries from retail departments and ensures that all his/her duties are performed in manner consistent with ISS's standard and procedures.
KEY ACCOUNTABILITIES:
- Review entitlement bulletins from various depositories and take corrective action
- Process distributions to client accounts accurately on a timely basis.
- Collect all payments associated with the distributions via DTC/CDS/BONY/Euroclear/Clearsteam and cheque
- On a daily basis, follow-up and reslove discrepancies.
- Process necessary tax reclaims according to the Treaties and Canada/UK/US.
- Provide support on other desks in the department as required by holiday schedules, volumes and projects.
- Respond to inquiries from other depts and branches, globally.
QUALIFICATIONS:
- Good knowledge of Security Operations and the Dividend Department procedures especially those that relate to the processing of cash interest distributions and the processing of all tax related documents as well as those of the departments that relate to the dividends area - Clearing, Reconciliations, Reorg.
- Excellent knowledge of the operational procedures and regulations of CDS, TSX,DTC and of the transfer agents and other financial institutions with whom the department interacts on claims, payments and processing of dividend entitlements.
- Complete knowledge of Interest and associated tax issues as they relate to the payment, processing and reporting Canadian, US and "foreign income" i.e. NRT, eligibility, books-close activity, record/ex/payable date implications, and different tax treatments etc.
- Good interpersonal skills, able to communicate effectively with all levels of ScotiaBank staff.
- Ability to respond to fluctuation volumes within tight timeframes and maintain a high degree of accuracy.
- Good operating knowledge of ADP system in general and detailed knowledge of the DIVSY sub system.
- Knowledge of the Dividend Back-Sheet system and the AS400 system.
EDUCATION AND ACCREDITATIONS:
- Strong knowlegde of accounting
- 1-2 years background in the securities area of a Dealer/Broker or Financial Institution.
- Enrollment or certificate in the CSC course will be considered
