ACCOUNTS PAYABLE CLERK
JOB DESCRIPTION SUMMARY:
The functions of the A/P clerk are to manage the processing and payment of over 500 invoices per month. This position includes general bookkeeping, monthly general ledger reconciliations, budget preparation assistance, account variance and analytical analysis and assisting the Controller with special projects.
REPORTING RELATIONSHIPS:
A/P clerk reports to the Controller.
JOB REQUIREMENTS:
Minimum of Associates degree in accounting or related field preferred.
Experience:
Minimum of two years prior experience working in accounts payable.
Strong organizational and communication skills and the ability to handle multiple projects.
A focus on customer service, both the internal and the external customer.
Ability to exercise good judgment with respect to enforcing payable policies of the company while maintaining good vendor relationships.
Proficiency on the computer including the use of Microsoft office products and accounting packages. A strong keyboarding background.
Team player with ability to meet varied deadlines and to manage multiple priorities.
AUTHORITY:
The A/P Clerk receives the authority necessary to perform the functions of the position from the Controller.
RESPONSIBILITIES AND DUTIES:
Accounts Payable:
Master accounts payable process
Review and post daily accounts payable batch entries.
Perform weekly accounts payable check run
Approve documentation on new vendors.
Set up and maintain vendor account records, including vendor insurance certificates and paid invoice files.
Set up and maintain monthly recurring payments for vendor services.
Maintain project (Leasing TI and Maintenance Contract) accounting files.
Maintain monthly service contract files.
Maintain monthly schedule of utility usage for RMM’s.
Review tenant service operations.
Monitor and manage vacant space utilities and new tenant utility account conversions.
Process annual 1099 reporting.
Assist with annual property budget process.
Enter annual property budgets into accounting software.
