We're seeking an Accounts Payable/Billing Coordinator to join our team in Chicago. Primary responsibilities of the Accounts Payable (AP)/Billing Coordinator are to provide financial and clerical support to the Corporate Accounting team. The AP/Billing Coordinator will perform accounts payable and billing processing duties in conjunction with the close process. The position reports to the Accounting Manager and works closely with the Staff Accountant. He/she will support them with various general accounting tasks.
Key Responsibilities
- Maintain monthly time tracking system and upload monthly timesheets
- Understand and manage all billing procedure elements required for invoice processing
- Process all Traffic, retainer and miscellaneous billings through accounting system in accordance with the close process
- Record revenue earned, vendor payables and expenses in the correct period in compliance with GAAP
- Efficiently complete ad-hoc requests
- Audit and process all vendor invoices and expense reports with attention to detail and understanding of the entire payables process
- Research and reconcile vendor statements, identify and address discrepancies in a timely manner
- Prepare and proof vendor checks for mailing. Sort and distribute general accounting mail and general ledger activity reports
- Prepare supporting journal entries in accordance with assigned duties.
- Maintain W-9/1099 and vendor payables paper files in accordance with established policies and procedures
Job Requirements
Qualifications:
- Bachelor's degree in Accounting
- 2+ years experience in an Accounts Payable Specialist or Billing role (or equivalent)
- Proficient with Microsoft Excel, Access and Word. Adapts easily to legacy financial systems
- Strong verbal and written communication skills
- Reliable and organized individual with ability to pay close attention to details and problem solve
- Ability to work independently with a high level of energy and initiative
- Team player willing to communicate issues and potential solutions
