Job Description

 

Summary: 

This position is primarily responsible for providing administrative duties that support personnel in the St.Marys  office.  This position interacts with people at all levels in the organization including customers and other external contacts.  The Processor will provide support to the Regional Human Resources (HR) Department by assisting with applicant’s materials, scheduling drug and/or physicals with the medical facility and assisting new employees with new hire paperwork .  Requires the ability to work with and maintain confidential information.  Responsible for the analysis and posting of vendor invoices for designed locations.  Invoices are to be processed in a timely and accurate manner, which includes verifying approvals where appropriate, ensuring compliance with policy and process design, and making process improvement suggestion.  Processor must be able to function effectively in a team environment.

Essential Duties and Responsibilities:

·         Accurately and efficiently processes various types of Accounts Receivable transactions including data entry of vendor invoices, and employee expense reports.

·         Operate effective accounts receivable procedures and controls independently.

·         Ensure all expenditure is accurately accounted for, properly approved and timely processed.

·         Participate in monthly A/R close process, ensuring all deadlines are met.

·         Answering and transferring phone calls to the appropriate personnel.

·         Sign and/or schedule for deliveries.

·         Greet and sign-in visitors.

·         Manage all incoming and outgoing faxes.

·         Pickup, coordinate/distribute all incoming and outgoing mail.

·         Provide clerical/administrative support to Managers/Supervisors as needed. 

·         Scanning documents and e-mail to appropriate personnel.

·         Enter receivables into system.

·         General housekeeping, i.e., turning off coffee pot at end of the work day.

·          Inventory/Purchase/Distribute office supplies

·         Filing and copying documents.

·         Performance of other duties and responsibilities as requested by management.

·         Assist with the pre-employment process by assisting with applicants, scanning/e-mailing documents to Regional HR Department.

·         Schedule drug screens and/or physicals for applicants.

·         Act as a liaison between candidates and Regional HR Department.

·         Route resumes to the Regional HR Department that come in via the mail.

·         Respond to walk-ins and phone inquiries regarding employment.

·         Answer general questions regarding benefits and procedures to employees or job applicants.

·         Provide administrative support at Towanda office for the Regional HR Department.

 

Job Requirements:

·         High School diploma.  College or technical school courses related to business administration a plus.

·         2 - 5 Years of office experience.

·         Exceptional phone skills and etiquette.

·         Requires advanced computer skills, including using products of Microsoft Office, i.e., Excel, PowerPoint and Outlook.

·         Excellent written and verbal communication skills.

·         Ability to multi-task, manage changing priorities and work independently with little or no supervision.

·         Ability to follow verbal and written instructions.

·         Great customer service skills.

·         Typing of 40 wpm (minimum).

·         Knowledge of the oilfield business is a plus.

·         Must possess valid driver’s license and be eligible to drive a company vehicle according to Select’s insurance guidelines.

 

Physical Demands:

·         Ability to lift 1-15 lbs. 

·         Involves sitting at a desk for extended periods of time. 

·         Manual dexterity to operate specialized equipment. 

·         Ability to hear telephone conversations and speak clearly. 

·         Needs high degree of concentration in a busy area.

 

Working Conditions

Monday through Friday, over-time as required.
