Your main responsibilities will be as follows :
- Providing secretarial support to senior consultants including diary management, timesheet management, expense claims, dealing with telephone calls/enquiries and working closely with them to assist with the project lifecycle
- Providing general administration support to consultants and analysts as required
- Working within an established admin team and providing cover and support when required
- Prepare client fee reports and monthly invoicing of consultancy fees, working with senior consultants to finalise and deliver
- Working with our customer database ensuring information is current with regard to contacts and pipeline
- Co-ordination of client and internal meetings, booking meeting rooms and equipment, arranging telephone conference calls.
- Booking travel arrangements, including international flights, hotels, trains, airport transfers sometimes for complex multi-city trips.
- Preparing and distributing proposals, reports and meeting packs for internal and external meetings
- Preparing PowerPoint presentations and producing Word documents to brand, ensuring documents conform to house style
- Maintaining filing system
- Maintain select lists for internal GDS communication purposes
- Ensure all materials are up to date and user friendly, on behalf of the Marketing Manager
- Proof reading materials/brochures/event collateral as required
- Contribute to ongoing internal projects and enhancement initiatives to maintain and improve internal and external client satisfaction.

Demonstrate natural ease and effectiveness when dealing with clients/colleagues at all levels
The requirements
- Previous experience in an administrative/team assistant role within a Corporate Environment
- Proven Project Management experience
- Excellent IT skills, particularly Word, Excel, Powerpoint, plus an ability to grasp new software quickly
- Excellent written and oral communication skills
- Able to work independently and with minimal direction
- Ability to be self-sufficient and manage own workload
- Flexible approach in undertaking a variety of responsibilities and able to work under pressure within a fast paced environment
- Previous proof reading experience with an excellent eye for detail.
- Able to demonstrate accuracy and thoroughness and able to monitor own work to ensure quality
- Language skills - French , German, Spanish would be desirable followed by Dutch.
