ADMINISTRATIVE ASSISTANT

This is a limited appointment position.
The Office of Alumni Relations, in collaboration with the Tufts University Alumni Association, strives to build lifelong relationships with the students and alumni of Tufts University. This is accomplished through extensive programming initiatives in Boston, throughout the United States, and around the world.
The Administrative Assistant provides executive-level support for both the Executive Director of Alumni Relations and the Director of the Travel-Learn Program. Responsibilities will include:
- maintaining complex calendars;
- scheduling and arranging meetings;
- handling correspondence;
- researching travel programs;
- following customer service protocol with travelers;
- managing the Travel-Learn budget;
- web and marketing related tasks;
- and other duties as assigned.
Basic Requirements:
- High School diploma, some college
- Three to five (3-5) years of experience in office support / customer service in fast-paced environment
- Microsoft Office, Word and Excel; familiarity with Advance; web-related software programs
- Must be a detail-oriented person; able to produce numerous work products with highest level of accuracy
- Must be able to multi-task, plan and prioritize work, and maintain focus in a fast-paced office environment
- Must possess excellent interpersonal skills
- Excellent written and oral communication skills are required, as is a strong customer service orientation
- Must possess excellent organizational skills, be good-humored, able to work with or without supervision, take instruction on specific tasks, prioritize and deal with competing priorities and multiple assignments
Preferred Qualifications: A Bachelor's degree is preferred. Understanding of the Institutional Advancement professional environment, and/or non-profit sector is a plus. Strong computer skills are desired. Willingness and ability to learn additional software programs (especially for web-related tasks) as they emerge is preferred.
Special Work Schedule Requirements: Occasional evenings and weekends required, overtime as necessary to complete projects.
