Kelly Services is seeking an Administrative Assistant for our customer in Sorrento Valley - QUICKBOOKS AND INTERMEDIATE EXCEL REQUIRED - 2-3 years experience. This is a full time opportunity, and possible temp to hire. It's said that there's no second chance to make a first impression. We are a seeking an Administrative Assistant to be our first impression, the voice of us to those calling on the phone and the face of the company to those visiting our office. We will rely on your initiative and organizational skills to keep us running at top performance along with your enthusiasm and ideas which will shape the environment in which we all work. In this detail-oriented role, your experience is crucial to successfully perform the following responsibilities: Formulate procedures for systematic retention, protection, retrieval, transfer, and disposal of records Assist with special projects utilizing Excel Quickbooks - Prepare vouchers, invoices, checks, account statements, reports, and other records, and review for accuracy Oversee the general office management issues and support a company of 15 employees with accelerated growth in the next couple of years Support executive management when required. Compile and sort documents, such as invoices and checks, substantiating business transactions Verify and post details of business transactions, such as funds received and disbursed, and reconcile accounts to ledgers or computer spreadsheets and databases Reconcile bank statements Assist Accounting by coding data for input into financial data processing system according to company procedures Review, balance, and interpret computer reports, and make corrections Assist in local and state compliance filings Qualifications: High school diploma or equivalent, and some college preferred 2-3 years administrative experience required Basic accounting/bookkeeping experience required Strong computer skills in MS Word, Excel, PowerPoint and Outlook required; knowledge of QuickBooks and/or other accounting systems are a plus Ability to work well either alone or as part of a team Excellent communication and organization skills Ability to adapt to an ever-changing environment Ability to solve practical problems and deal with a variety of situations; ability to interpret a variety of instructions Deadline and solutions oriented with the ability to handle multiple competing priorities; wide variety of responsibilities means you'll never be bored!
