Administrative Assistant

Leading Fortune 500 Global Financial Services and Investment firm is seeking a talented Administrative Assistant.  Work for an exciting company within a fast-paced environment.

 
Note: This is a temporary position. (Potential for conversion to FT hire but cannot be guaranteed).

* Supporting 3 MD's, 1 VP and  various other senior VPs as needed.  Support Ops Tech departments w/ daily requests.
* Maintain and manage calendars, schedule meetings/conference calls, and prioritize meeting requests effectively.
* Make travel arrangements and prepare itineraries.  
* Manage high volume of telephone calls, interact with high level business leaders both internally and externally in a professional manner.
* Create weekly and monthly project reports for CSW (Client Services).
* Assist w/ hiring process; organize superday recruiting efforts as needed.
* Update and maintain Artemis records, train new hires on how to use Artemis  systems.
* Oversee TEEMS expenses for managers and ensure their departments are up to date for all employees and follow up for completion if needed.
* Update management team on TE Aged Expense Reports; Monthly olicy report.
* Order supplies via OMD and keep drawers organized.

SKILLS
* 3 or more years experience supporting executive level staff
* Strong organizational, time management and information retention skills; ability to multi-task under pressure
* Superior interpersonal and written/verbal communication skills
* Must have exceptional judgment and be able to work quickly with high degree of accuracy
* Must have excellent teamwork skills and be able to identify appropriate go-to people for gathering information
* Ability to interact with senior management in the organization
* Perform a wide variety of tasks and ability to change focus quickly as demands change
* Positive attitude, motivated, energetic team player
* Demonstrate the highest degree of discretion, integrity and confidentiality

Strong computer skills - Outlook, MS Suite essential

EDUCATION
Bachelors preferred
