Administrative Assistant
Hillcrest is seeking the glue that holds Sales and Marketing teams together! Our team is incomplete without a top-notch administrative professional to manage team calendars, coordinate travel arrangements, prepare expense reports, and maintain documentation plus many other important short and long term tasks. Excellent oral and written communications, strong organizational skills, flexibility, a can-do attitude and a brilliant sense of humor are the necessary tools for success. Responsibilities
Support and assist senior executives and their Marketing and Sales teams to maximize office efficiency, facilitate workflow, and perform a variety of staff functions including but not limited to the following:
· Manage executive and team calendars and schedules
· Coordinate travel arrangements and documents
· Support company participation in conferences and trade shows including travel and onsite logistics, as needed
· Coordinate meetings including meeting locations, demonstration equipment, audio visual equipment, and materials
· Provide support for remote sales team members
· Manage memberships and team accounts
· Prepare expense and time reports for team executives
· Coordinate submission of complete and approved sales and marketing staff expense accounts and time reports
· Assist with professional contact database
· Maintain NDA database including master list documentation, scanning, and filing
· Facilitate processing of contractor and vendor invoices
· Manage shipments including customer orders, customer samples and temporary equipment
· Procure equipment including samples, demo inventory restock, and trade show materials
· Maintain demo equipment both in the office and for travel
· Maintain customer contract scanning and filing
· Provide initial welcome and assistance to company visitors

· Proficient with MS Office
Education and Experience
· Associate’s degree or Bachelor’s degree is desired. High school diploma is required.
· Five years of experience as an administrative assistant or combination of administrative positions is desired.
