ADMINISTRATIVE ASSISTANT

 

Reporting to the Vice President, Marketing and Communications, you will be responsible for providing exceptional administrative support and assisting the leadership team to manage the department. This position will provide high-level support by conducting research, preparing statistical reports, budgeting, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise lower-level clerical staff.

 

Responsibilities:

 

·          provides administrative assistance including; answering phones, taking messages, receiving shipments and sending couriers

·          provides support to the Communications department, monitors vacations, track forms and input into Oracle to ensure that vacation is taken appropriately

·          prepares visual presentations and reports for meetings and plans and organizes the monthly Marketing Task Force Meetings

·          monitors, tracks and codes incoming invoices to ensure they are approved and submitted to finance

·          prepares budget forecasting each month, budget planning for each next fiscal year and Year End information including accruals

·          assists with the planning, coordination and implementation of special events including the Skyboxes, AGMs, sports events, celebrations and internal events

·          provides support to the Communications team with research as needed

·          assists the Community Investment team with sponsorship tracking and partnership activations

·          collaborates with the Creative Services team on online and offline initiatives

·          collaborates with team on all initiatives and has a high success rate in relation to project execution

·          assists the Vice President, Marketing Corporate Communications with on going projects as requested

 

Qualifications:

 

·          post-secondary education in communications, marketing, or other related field

·          exceptional verbal and written communication skills

·          excellent planning and coordination skills

·          outstanding writing, editing and oral communication skills

·          ability to exercise discretion, judgment, diplomacy and confidentiality

·          strong attention to detail, good multitasking and organizational skills

·          ability to work in a fast-paced environment focused on excellent people skills

·          excellent Microsoft Office (Word, Excel, PowerPoint and Outlook) skills
