Administrative Assistant

Beginning in the 1970s, Entertainment Partners has been developing and providing production accounting and payroll systems, including residuals payment systems, for the entertainment industry.  We operate in several states and oversee the well-known Central Casting business.

Responsible for supporting the SVP, Products by executing long and short-term tasks, providing general assistance and advice, performing research, developing programs to support the company goals, and proactively seeking ways to free-up the executive’s time.  Responsible for maintaining a professional company image through in-person, email  and telephone interaction.

 

PRIMARY RESPONSIBILITIES

·   Analyze business processes and opportunities

·   Provide research and analysis, as needed

·   Anticipate executive needs

·   Prepare for daily responsibilities/meetings (provide appropriate files, print related documents, provide verbal or written summary, as needed)

·   Develop and conduct programs, as needed, to support goals

·   Write and send communication on executives behalf

·   Read and summarize documents/offer suggestions for action

·   Oversee calendar to ensure no conflicts

·   Manage and file email

·   Act as liaison between SVP and clients, employees, service providers, and general public

·   Prepare speeches and talking points for various meetings/conferences

·   Assist in coordinating meetings and events for various organization involvement

·   Attend various meetings to track action items and use the knowledge gained to propose improvements or programs that may support goals

·   Prepare expense reports

·   Perform general clerical duties to include but not be limited to: photocopying, faxing, mailing, and filing

·   Answer telephones, takes messages, and screen and transfer calls, as appropriate

·   Arrange travel schedule, as needed

·   Coordinate office relocations

·   Other projects and duties as assigned

 

EDUCATION EXPERIENCE

·   Minimum 5 years assisting a senior level executive

·   Bachelor’s degree preferred

·   Production accounting experience a plus

 

KNOWLEDGE, SKILLS ABILITIES

·   Able to exercise discretion with confidential information

·   Must be proficient at Microsoft Word, Powerpoint, Excel, and Outlook

·   Strong written and verbal communication skills

·   Very strong analytical and research skills

·   Strong problem solving skills

·   Strong interpersonal skills; works well with all levels of internal management and staff

·   Ability to work independently with minimal supervision

·   Typing of 65wpm
