Administrative Assistant - Regional Sales - Business Agriculture
Reporting to the Managing Directors Business Agriculture (B Ag) and indirectly reporting to the Executive Assistant, Bus Ag Regional sales. This role supports various initiatives with a broad scope of administrative and recruitment support to the B Ag Calgary, Edmonton, North South Regions and embedded resources.
You will find success based on your ability to:
- Maintain update the B Ag Master Employee List, Organizational charts, asset tags initial PMI requests for all line associates. Provides support to the VP IB Ag, Managing Directors, Directors and line sales associates.
- Responsible for meeting preparation (i.e. agenda’s, invitations, catering, speakers, prizes etc) under the direction of the Managing Directors including preparation for workshops (ie. Compiling binders, photocopying handouts, etc).
- Review and compile expense claims for the regional sales leadership team.
- Assist with the coordination of reward and recognition for the B Ag regional office, organize purchase gift certificates, and ensure any other arrangements are made.
- Responsible for updating and maintaining the RFS ATBIS referral Collaboration tool by working with the Directors and sales associates on referrals made. This is to ensure the coordination of accurate data is maintained and followed through.
- Act as a security manager preparing TSR and other IT requests.
- Provides administrative support to the line managers for job postings, hire/transfer documents and on-boarding of sales associates.
- Maintaining relationships and connections between stakeholders related to the Welcome Package, gathering updates and changes to be made, then implementing appropriate content updates. By ensuring the new associate are welcomed in accordance to the IB Ag Associate value proposition.
- Co-ordinate and ensure all department supplies and stationary are available and equipment is in proper working order/maintenance schedules are followed.
- Maintain an organized workplace in order that duties can be properly prioritized and deadlines met.
- Provide backup assistance to the Executive Assistant.
- On occasion backs up the receptionist for the BAG office, greeting visitors, customers and associates.
Job Requirements:

- Strong administrative skills/technical ability/PC skills
- Strong organizational and planning skills
- Excellent communication skills (written and oral), listening skills, ability to ask questions and make decisions.
- Able to work with minimal supervision
- Decisive, creative and flexible
- Positive attitude, friendly personality, positive workplace behavior, self motivated
- Requires professionalism confidentiality assumed with supporting the executive office
Designations/training required/prerequisites:
- Strong knowledge of ATB banking products, procedures and operational processes
- Thorough knowledge and understanding of the budget and expenditure control process
- Basic understanding of personnel functions and reporting requirements
