Responsibilities This position will function as an integral part of Companion Animal (CAD) Marketing group by providing administrative support to the Cad Marketers. Responsibilities include but are not limited to: Administrative Responsibilities: "Carrying out administrative functions proficiently and completing quality work on a timely basis. "Schedules meetings and appointments, makes travel arrangements including air, hotel and ground transportation, as needed "Managing calendars through Outlook, in alignment with colleagues established priorities. Proactively resolving meeting conflicts diplomatically. Coordinating meeting logistics including meeting rooms, catering, meeting preparations. "Prepare expense reports, track reimbursements, and ensure correct AMEX credits/debits; "Coordinate new employee on-boarding with HR "Handle coordination of PE requests, invoice tracking, expense reimbursements, ordering supplies "Using judgment to identify and work to resolve most urgent issues. "Communicating and working in a team environment, working closely with other administrative colleagues to coordinate workflow. "Answering phones and directing calls as appropriate, taking messages. "Completing special projects as business dictates. Speakers Bureau Responsibilities "Be the Administrative Liaison among the following teams: EDGE team, Veterinary Operations, Marketing, PEI Support and Field-based colleagues as it relates to Speaker Management "Have a complete working knowledge of the EDGE CRM system "Have a complete working knowledge of the Speaker Bureau process "Review Speaker Nomination Reports weekly and input them in the EDGE system "Triage emails and phone calls received from field colleagues on a regular basis with questions on how to set up a speaker, speaker nomination, contract status, etc. " Keep all signed speaker contracts up to date and housed in a central location that is easily accessible to members of the Speaker Bureau team "Meet regularly with the Speaker Bureau team for guidance and support Qualifications 1.Candidate should have minimum 5 years administrative experience that demonstrates an ability to carry out all office functions proficiently. 2.
