Position Description:
The purpose of this position is provide administrative support and coordination to March of Dimes' Signature Programs Division.
Position Responsibilities:
Provide administrative support to the Vice President, Signature Programs, including but not limited to: managing meetings, schedule and travel; preparing briefing materials and itineraries for all meetings and travel; drafting, editing, proofing and formatting correspondence, reports and other written material; coordinating mailings, establishing and maintaining hard copy and computer file system; providing phone back-up to VP and direct calls when VP is not available.
Organize and handle administrative activities of division: process expense vouchers, purchase orders and invoices; coordinate and process reviews and approval requests of the VP by organizing requests from directors in the division so that approvals and provided in timely manner. Organize and coordinate regular and ad hoc meetings of division staff, March of Dimes staff and external attendees.
Support division projects and activities, including data entry, assisting in major meeting preparation, assisting team in preparation of documents and presentations. Provide occasional administrative support to Chapter Programs Division, particularly when related to joint activities between Signature Programs and Chapter Program Support divisions.
Provide administrative support as needed to the Senior Vice President, Chapter Programs, to ensure continuously smooth functioning of administrative services, especially when coverage of SVP’s AA position is required.
Position Requirements:
3-5 years of related experience
MS Office proficiency – Word, Excel, PowerPoint, Outlook
Knowledge of organizational systems for office management
Strong people and project coordination skills;
Excellent business writing, proofreading and editing skills
Some background/exposure to health education or information
Interest or experience health care
Four year college degree or equivalent
