For our Finance department based in Fribourg we are looking for an:
Administrative Assistant Contracts (m/w)
Your Responsibilities:
The Administrative Assistant is the owner of the Contract Administration and supports the Senior and other Administrative Assistants. He assists in all activities the different functions of the department and communication with the markets and Senior Management.
Your essential functions will be the following:
- Verify paperwork is compliant and coordinate incoming requests (agreements, contracts, letters, etc…) for signatures on behalf of Alcon various entities to Alcon Officers.
- Organize notarization, legalization, consularization, translation, and other specific official documents. Follow-up on situations concerning legal documents with minimal supervision.
- Organize and arrange files associated with the contracts and legal documents. Search, provide and upload documents in UPSIDE system.
- Manage secretarial and administrative work, in writing and by phone, write correspondence independently or according to instructions.
- Providing support to the Senior Administrative Assistance as required.
- Back-up of the Senior Administrative Assistant to the General Manager.
Your Education:
- Preferred: Commercial apprenticeship with further education
Your Experience:
- 1-2 years of experience in a similar role in an international organization
Specific knowledge, skills, abilities required:
- English fluent, French and/or German fluent
- Good interpersonal skills
- Ability to cope with deadlines
- Stress resistant, organized, multitasked and strong coordination skills
- Advanced MS Office skills (Word, Excel, Powerpoint)
