Job Summary:
An exciting opportunity is available for a highly motivated Administrative Assistant to join one of Howard Hughes Medical Institute's (HHMI) laboratories located at Columbia University Medical Center in New York, NY. In this position, you can expect to provide an executive level of administrative support in the areas of grants administration, finances, scheduling, office management, and lab administration.
Principal Responsibilities:
- Coordinate grants administration and management with departmental staff members.
- Create monthly finance reports for review by the Investigator and Lab Manager.
- Maintain office calendar. Schedule and coordinate meetings, special events, and travel arrangements. Process travel and expense reimbursements for investigator and research staff.
- Serve as a liaison between the lab and the administrative staff of Columbia University and HHMI.
- Answer routine inquiries without further consultation, resolve routine matters, and respond to minor problems and complaints.
- Compose, proofread, edit and/or compile letters and special reports.
- Maintain and order office supplies and equipment as needed.
- Coordinate material transfer agreement paperwork for the import and export of lab materials.
- Set up videoconferencing equipment for lab meetings. Maintain the laboratory webpage.
- Perform miscellaneous administrative and general office management duties as needed.
Preferred Qualifications:
- Bachelor's degree or equivalent and three to five years of increasingly responsible experience in office management and bookkeeping in a research environment.
- Knowledge of scientific terminology and familiarity with laboratory operations.
- Attention to detail and excellent communication, organizational, and interpersonal skills.
- Ability to communicate required information, draft routine correspondence and basic reports, and keep accurate records of work performed.
- Excellent keyboarding, wordprocessing, and speadsheet software skills. Must be familiar with Mac, Adobe, and Office.
- Familiarity with standard office equipment.
- Must be able to work independently with a high degree of initiative and as part of a team.
