The right Administrative Assistant candidate must provide diverse, advanced and confidential administrative support. The Assistant is responsible for extremely heavy calendar management, including coordinating schedules for corporate executives and acting as liaison to outside groups coordinating events. Significant multi-tasking abilities are required, including managing different and conflicting objectives, projects and activities. The Assistant must communicate frequently with executives and line management to gather and convey relevant information. Staff at this level are regularly involved in high-level client contact and exposure to sensitive information and must use considerable tact, diplomacy and judgment.
Responsibilities include:
* Extremely heavy calendar management
* Composing, signing and releasing routine but somewhat complex correspondence
* Compiling and reporting information relevant to/for the executive and the department
* Communicating and interacting with all levels of the group and across business functions, finance, personnel and technology
* Reading, screening, referring and responding to incoming mail, ensuring that referrals are made and responses are gathered and summarized
* Quickly learning and keeping up to date on a variety of software programs
Required: "MUST" have these skills to be minimally qualified.
- 5+ years administrative support experience
- Significant time management, multi-tasking and prioritization skills
- Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint)
- Highly organized with strong attention to detail
- Ability to work effectively under pressure and time constraints
- Strong written and verbal communication skills
- Concur or similar experience processing travel and expenses
- Exemplary demonstrated work ethic
- Ability to learn quickly and take on new responsibilities
Desired:
- Prior experience supporting high-level executives
- Financial Services support experience
