Administrative Assistant
Job Description:
Position Summary:
Provide departmental administrative support.
Essential Functions:
Answer telephones and transfer to appropriate staff member.
Meet and greet clients and visitors.
Create and modify documents using Microsoft Office.
Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
Maintain hard copy and electronic filing system.
Sign for and distribute UPS/Fed Ex/Airborne packages.
Research, price, and purchase office furniture and supplies.
Coordinate and maintain records for staff office space, phones, parking, company credit cards and office keys.
Setup and coordinate meetings and conferences.
Maintain and distribute staff weekly schedules.
Collect and maintain PC inventory.
Support staff as directed.
Maintains market information (e.g. calendar, contacts list, org chart, etc)
Assists in special projects (e.g., bulk mailings, invitations for special events, etc.)
Develops office supply ordering procedure and maintain supplies for the market
Processes incoming mail for the market
Serves as initial point of contact for the market to route incoming calls to appropriate staff
Records and delivers messages accurately and timely
Processes expense reports for office operations
Assesses office needs and interacts with the landlord for intervention as directed
Maintains neat and organized filing systems
Other tasks as assigned
Required Education and Experience:
High School Diploma required; some post high school training in office management and/or Human Resources preferred.
Minimum 2 years experience in health care environment such as physicians office or hospital
Required Knowledge, Abilities and Skills:
Proficiency in Medical Terminology and coding
Proficiency with Microsoft Office
Excellent written and verbal communications skills
Multitasking with ability to prioritize
Maintains patient information per HIPAA guidelines
Ability to perform tasks with minimal supervision, a high level of accuracy, and strong attention to detail
