The Chicago office of Skadden, Arps is seeking an Administrative Assistant to provide support to the Law Firm Office Administrator and Marketing and Communications team. This individual researches and tracks the Firm's involvement in deals and matters through the use of internal and external (press) resources, and assists the Marketing Specialist with RFP requests, proposals and in the production of pitch materials (research support). In addition, provides assistance to both the Office Administrator and Marketing and Communications department in the coordination of Office, Client and Alumni Events/Receptions and various Business Development seminars. This role also provides administrative support to the Chicago Office Administrator including but not limited to assisting with research and managing tasks on various office-wide projects, maintaining calendars and departmental files/records, updating floor plans, preparing check requests and expense reports for Office Administrator's review, answering and redirecting telephone calls and coordinating and managing the logistics for internal/external meetings (travel arrangements/itineraries, pre-registering visitors/guests with building security etc.). Additional duties include managing monthly report distribution, updating monthly tracking reports and assisting with special projects as needed.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Publisher and Outlook), with strong working knowledge of Interaction, Aderant, Linkedin and InDesign being a plusAbility to work effectively on an independent basis with limited supervision
- Must possess demonstrated ability to interface and communicate effectively with Clients, Vendors/Business Partners, Media, Firm Partnership and Executive Leadership and all other attorneys and personnel
- Excellent database skills
- Excellent interpersonal and telephone skills combined with a pleasant customer service orientation that projects competence and inspires confidence
- Excellent writing and proofreading skills
- Ability to maintain composure, while juggling multiple tasks from various individuals with competing and/or shifting priorities, while maintaining a high energy level
- Ability to handle confidential and sensitive matters
- Excellent organizational, logic, and attention to detail skills as well as the ability to understand, communicate and carry out instructions
- Flexibility to adjust hours to meet workload demands and off-hour events
EDUCATION AND EXPERIENCE
- Bachelor's Degree
- Minimum of 2+ years of related experience
