Administrative Assistant Job in Columbia 21046, Maryland US
Job Purpose
The successful candidate will provide a full range of administrative support to the organization’s management team in a fast-paced high traffic environment. The work is performed with general supervision, however the ideal candidate will be self-directed and have the ability to anticipate and multi-task with autonomy and initiative. The provision of excellent customer service and attention to detail are major job performance requirements.
Duties
· Provides administrative support to senior staff and the leadership team
· Prepares letters, forms, memoranda, reports, documents, meeting minutes and other materials using a personal computer and software such as MS Word, Excel, PowerPoint, Access, and Adobe
· Schedules and confirms appointments, meetings, and events
· Researches and compiles information
· Maintains computerized databases creates reports as needed
· Greets and assists visitors by determining the type of assistance and/or resources needed
· Receives and routes incoming telephone calls mail to appropriate staff and partners
· Updates website and computerized events calendar
· Coordinates administrative logistical aspects of regular events, including registration, name badges, and catering
· Purchase and maintain office supplies
· Coordinate facility maintenance
· Manage the facility’s common areas, including the break area, stock room, and conference rooms
· Other duties of a general administrative nature as assigned.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
· Proficiency in the use of business English, spelling, punctuation and arithmetic
· Knowledge of office etiquette, practices, procedures and equipment
· Proficiency with Microsoft Office software for use in communications, reporting, analysis, and presentations
· Strong organizational skills; ability to devise, establish and maintain recordkeeping systems and forms
· Ability to manage multiple, complex tasks and projects simultaneously
· Ability to recommend and implement new and revised procedures to handle administrative functions
· Team player; able to establish and maintain effective working relationships with external and internal customers
· Strong customer service orientation
· Strong creative thinking and problems solving skills
· Pleasant, outgoing personality, positive attitude, professional businesslike appearance and demeanor
MINIMUM EDUCATION AND EXPERIENCE
High school diploma with minimum of six years of progressive clerical/administrative experience in an office setting
Post-secondary education may be substituted for up to four years of experience on a year for year basis
Additional post-secondary education preferred
