The Administrative Assistant supports and reports to the FTO Director. Task areas include but are not limited to:
- Assist in the creation of monthly Reports with inputs from the FTO Program Managers.
- Must be knowledgeable and proficient in the latest versions of Microsoft Office including Word, Excel and PowerPoint. Must have familiarization with Deltek or similar automated management systems such as SAP.
- Assist remote work site administrative employees with employee administrative and payroll issues to include entries in the Deltek Human Resources and E-Time modules. The employee data is subject to the Privacy Act and the Administrative Assistant shall comply with all requirements regulating use, safeguarding, and disclosing this information
- Procure needed office supplies using a corporate purchase card and maintain system entries for approvals and monthly reconciliations.
- Assist work sites as needed in coordinating employee travel and later reconciliations.
- Must be able to work independently in absence of supervision in the office
The Administrative Assistant shall provide other administrative support such as:
- Process and code Fed-Ex invoices.
- Be familiar with Collective Bargaining Agreements (CBAs) requirements.
- Create requisitions for P card (purchase card) usage. Allocate funds to correct charge codes on various purchases at the bank and reconcile bank transactions.
- Input employee labor hours in the E time (time collection) system on an as needed basis.
- Order office supplies.
- Review all outgoing and incoming documents and correspondence for accuracy.
- Fed-ex BER (business expense reports) and other documents to AP department in New Jersey.
- Assist with FMLA and disability requests.
- Act as a liaison between the work sites and corporate HR/Payroll for issue resolution.
- Maintain employee records and process all ESC (employee status changes) such as termination, promotions, leave of absences, return from leave of absence, demotions, new hires, re-hires, change of address, name change, phone number, and subcontractors.
- Process military leave differential.
- Process leave adjustment forms for leave accruals.
- Process retro request forms for promotion or certification pay.
- Process tuition reimbursement forms.
- Run various reports in Cognos to check employee set up, time entry and other issues with HR and Payroll.
- Research, and if necessary, process payroll issues.
- Weekly auditing of timesheets that are sent from the site admins.
- Order flowers for employee (funeral)
- Receive all incoming Fed-ex, UPS, post office packages. Ship any packages externally to sites or offices.
- Check mailbox on a daily basis and distribute mail to employees in office.
- Make copies and scan information as needed.
- Update weekly staffing report and monthly crew sheet to Director and Program Managers. This report allows us to report on site layoffs and new hires.
- Make service request via internet for IT updates.
- Weekly reporting on Approver and Signing Verification report.
- Weekly reporting on China Lake certification report.
- Iron Mountain/record retention manual and electronic.
- Keep abreast of issues, commitments, laws, and policies when dealing with CONUS and OCONUS work sites.
- The incumbent will adhere to and support all company policies and procedures including safety standards, sexual harassment, and support of DS2 code of ethics
