Summary:
The Administrative Assistant provides day to day support to operations and assists customers in a variety of ways.
PRIMARY RESPONSIBILITIES
· Provide excellent customer service by receiving incoming calls or returning calls in a timely manner
· Maintain/Update Lots Home Construction status reports
· Distribute home buyers “Regency Welcome Letters”
· Provide customers with a weekly construction progress reports
· Receive/Distribute Faxes
· Coordinate with courier to send construction loan packets to banks
· Attend bi-weekly meetings with lenders
· Distribute mail
· Sort vendor invoices into appropriate builders’ folder
· Manage calendar and schedule appointments for Operations Partner
· Various filing and scanning of office documents
· Obtain draw checks, closing checks and house plans when needed
· Update completion percentages for all homes under construction
· Manage construction loan draws from banks
· Request insurance certificates requested by banks
· Assist in contract administration and prepare report for Owner Partner
· Other duties as assigned
