Eastside Financial Services organization is hiring a top notch administrative assistant to be responsible for general office administration duties as well as exclusively provide high level back-up support for a senior executive.  The successful candidate will have the opportunity to support the activities of a key senior executive and gain broad exposure across this highly successful organization.  As priorities allow, this individual will also follow relevant news outlets to gain exposure to industry and market events.  This is a great opportunity for a team-oriented professional with a demonstrated interest in the investment industry.

Responsibilities:

Primary responsibility for providing back up support across a wide range of administrative duties including travel, research and organizational projects, correspondence, mail, filing, copying, shredding and additional responsibilities as needed.

·         Assist with travel research, planning, and scheduling for extensive domestic and international travel.

·         Assist with meeting preparation including research, document conversion, assembling and distributing meeting materials.

·         Assist with phone and email communications.

·         Collaborate with administrative team to ensure timely and accurate mail distribution, maintain periodical subscriptions, monitor and maintain of conference rooms.

·         Maintain multiple organized hard copy and electronic filing systems, managing documents in accordance with document retention guidelines.

Requirements and Qualifications:

·         Bachelor’s degree in Business, Finance, Economics, Mathematics or closely related field is required.

·         Minimum of 2 years of relevant experience in an administrative or financial position is required, as is a demonstrated interest in the investment industry. Preference for candidates with knowledge of fixed-income and global equity markets.

·         Strong technical skills are required, including solid knowledge of MS Office – Word, Excel, Outlook and PowerPoint. Experience with multiple databases preferred.   

·         Material experience with travel scheduling and bookings for substantial domestic and international travel strongly preferred.

·         Highly organized, process-minded, and impeccable attention to detail, with a no-tolerance approach to errors.

·         Ability to routinely respond to off hours requests including nights and weekends.

·         Polished, professional presence and  outstanding communication and interpersonal skills are essential,

·         Fast learner with “thick skin” and the ability to request and receive constructive feedback for growth and development.

·         Intelligent, resourceful, proactive, with excellent problem solving and analytical skills.

·         Highly professional team player that has the ability to work independently as well as part of a team.

·         Dependable and professional, with a demonstrated strong work ethic.

·         Strong project management skills with ability to manage several projects concurrently.
