We are seeking a poised and professional Administrative Assistant to work at the Corporate Headquarters of Oakwood Temporary Housing, supporting a senior level Executive. We are conveniently located in West Los Angeles near the 405 and 10 freeways.
The ideal candidate will be a dynamic, personable, highly organized individual with the ability to interact with individuals at all levels within and outside of the organization. In this role, the Assistant is primarily responsible for traditional administrative tasks as well as complex travel arrangements and maintaining an ever-changing executive's calendar.
Responsibilities:
• Answer phones and place calls on behalf of Executive.
• Transcribe letters, memos, notes and e-mails for the Executive.
• Track, research and follow-up on various action items for the Executive.
• Anticipate needs and responsibilities without direction.
• Arrange, coordinate and organize local, national and international travel as needed. This will include charter flights, hotels, car service, restaurants, etc., with frequent last minute travel changes.
• Oversee the creation of highly detailed itineraries involving the Who, What, When and Where.
Specific Skill Requirements:
• Understand the nuances of providing administrative support at an executive level.
• Highly organized with detailed follow-up skills.
• Strong interpersonal and communication skills.
• Demonstrated written communication skills.
• Experienced with supporting an executive who travels internationally.
• Comfortable with providing remote support when the executive is physically working in another location.
• Previous experience in a privately owned company preferred.
• Ability to interact with senior level executives.
• Self-starter, self-disciplined and able to work unsupervised.
• Ability to work through scheduling demands and conflicts with composure and diplomacy.
• Ability to prioritize multiple tasks while anticipating regular change in work focus and direction.
• Ability to thrive in a fast-paced, detail-oriented environment.
Qualifications:
• Bachelor’s Degree preferred.
• 5-7 years Administrative Assistant experience assisting C-level executive or above.
• Excellent typing and computer skills with proficiency in MS Word, Excel, Access, PowerPoint and Outlook. Apple a plus.
• Typing 50-60 wpm
• Weekend work is rarely required, but individual should be available to work overtime when necessary.
• Ability to thrive in a fast-paced environment.
