We are currently seeking qualified Administrative Assistant candidates at one of our beautiful resorts in North Fort Myers, Florida. The Administrative Assistant is responsible for the day to day clerical duties of the office.  These duties include, but are not limited to, answering telephones, faxing, making copies, filing, opening and sorting mail, preparing outgoing mail, processing A/P’s, frequent and regular computer usage.  Works as a team participant to ensure the Community meets the quality standards set by the Company.

Responsibilities:

•    Answer all incoming calls and routes to the appropriate staff member.
•    Greets visitors (internal and external).
•    Open and distribute incoming overnight packages; prepares all outgoing mail and packages as needed.
•    Processes community A/P’s in automated accounting system i.e. Catalyst and/or MRI.
•    Assists in the monthly collection and processing of rent checks.  This includes collections, deposits and data entry in MRI.
•    Assists in the processing of paperwork for residents upon move-in and move-out, including faxing resident applications for background checks and data entry of move in/out data.
•    Assists in processing MasterCard reconciliation.
•    Creates and edits spreadsheets and correspondence as needed.
•    Orders office supplies as needed.
•    Maintains community files including residential files, financials, MEF’s, operating reports and income statements.
•    Performs data entry in any and all computer systems as requested.

Requirements:

1.    High School diploma or equivalent with one plus year of Office Administration experience required.
2.    Excellent written, verbal communication, and organizational skills .
3.    Must be detail oriented.
4.    Computer proficiency in MS Office suite products required.
5.    Experience with automated accounting systems a plus.
