Immediate Administrative Assistant Position 32-34K Nature and Scope of Position : Provides primary administrative support to the Team and coordinates programs . Assists in the organization of budgets, meetings, activities and projects, as needed. Duties and Responsibilities : 1) Assists staff in all administrative activities. 2) Assists in the development of n ew resources opportunities and works with outside customers and volunteers. 3) Assists with customer inquiries ?" verbal and written. 4) Sets up meetings, calls and events and tracking calendar/activities. Prepares travel arrangements ?" TAFs, meetings codes, and TE forms. 5) Maintains up-to-date contact information lists and/or database. 6) Prepares and maintains documents, filing, archiving, processing of mail, and other general administrative duties. 7) Maintains general correspondence files and information files for the team. 8) Conduct and promote webinars as needed. 9) Assists in the preparation of monthly team reports and quarterly reports to include key metrics, success rates, who it impacts, and cost/benefit/ROI analysis in order to help with setting priorities. 10) Works with Team to achieve target budget results. Assists in the preparation of monthly budget review reports. 11) Assist with budget review and new program packages detailing plans, steps and related costs. Includes reconciling, coding, and processing invoices, check requests, and other financial documents. 12) Attends designated committee, project team and/or workgroup meetings and other conferences as required. Coodinates company presence and activities in Meetings and trade shows. Impact : Provides staff support for comany programs and resources. Errors on employee's part could affect the effectiveness of operation of the client programs. Desirable Experience : Bachelor's degree (B. A./B.S.) from four-year college or university in Administration, Business, Marketing, Communication or Journalism or related degree; or one to two years related experience and/or training; or equivalent combination of education and experience is preferred . Experience in a non for profit or medical industry a plus. Knowledge and Skills Required : Successful candidate must have two to four years of coordinator or administrative support experience in a for-profit business environment. Candidate must be organized and follow a systematic method of performing a task; accept responsibility and account for his/her actions; and possess the ability to perform work accurately and thoroughly. Position holder must be customer oriented by being able to take care of the customers ?? needs while following procedures. Candidate must be detail oriented, dependable and trustworthy. Candidate must also be able to communicate effectively with others when speaking and be able to write clearly and concisely. Candidate must be able to manage his/her time effectively by utilizing the available time to organize and complete work within given deadlines. Position holder will be able to work independently as well as with all levels of professionals. Candidate must be proficient in Microsoft programs including Word, Excel, PowerPoint Outlook, and Publisher. Position holder must be able to travel 2-3 times per year.
