Rio Tinto Procurement has an opening for Administrative Assistant in Salt Lake City, UT.
This role has responsibility to provide administrative support to departments within Rio Tinto Procurement. This role may also serve as a resource for the coordination of communications and meetings on a global level, maintaining key information and data management and providing support to Executives and other visitors.
Accountabilities:
- Support Procurement Management located at the RTRC with their administrative needs such as maintaining schedules, responding to routine inquiries, reserving conf rooms and coordinating meetings and conference calls, preparing and maintaining meeting agendas and minutes, answering phone calls and directing calls as needed.
- Assist with preparing communications, memos and other documents relating to confidential and/or sensitive information and maintain confidentiality.
- Assess incoming documents (mail, memos, letters, reports, emails, submissions) and evaluate for proper distribution or action.
- Participate in and execute projects impacting administrative functions of the RTRC (intranet, branding, office supplies, equipment, etc.).
- Plan and execute events such as company parties, management retreats, business meetings, etc.
- Assist other administrative professionals across the organization with regard to new processes and procedures.
- Assist in providing a positive, safe and ethical working environment.
- Assist visitors to building with safety compliance, private meeting rooms, etc.
- Assist with coordination of equipment and other necessary items for new employees.
- Communicate feedback regarding employee concerns to management.
- May assist executives with travel arrangements and expense reporting.
- May support Operations, Finance, Human Resources, Supply Chain Excellence, Global Supply and Global Services departments within Procurement with administrative needs such as coordinating meeting/conference rooms, preparing reports and presentations, coordinating schedules, creating and distributing meeting agendas, etc. as time is available.
Qualifications:
- Requires High School Diploma or equivalent education/experience required
- 4 - 6 years previous experience in an administrative or related role supporting multiple managers or departments required
- Strong written and verbal communication skills
- Strong attention to detail
- Strong time management, prioritization and problem solving skills
- Computer literate and proficiency with common word processing, spreadsheet, presentation and database software
- Ability to maintain confidentiality of sensitive information and/or material
- Ability to manage multiple priorities in a potentially high stress environment
- Ability to exemplify and promote a culture of ethics and compliance
- Ability to evaluate situations and respond appropriately
- Ability to work effectively and productively in a matrix organization with minimal supervision
- Strong PowerPoint, excel, word application skills a must with ability to receive storyboard information and translate that into effective PowerPoint presentations for Leaders and Managers
