Administrative Assistant Job in Toronto, Ontario Canada
POSITION SUMMARY:
Based in Toronto, the Administrative Assistant will be a key partner of the Debt Capital Markets team and responsible for all administration management. Assist on all Corporate Marketing and Administration activities. Coordinate client reporting and tracking of client-related activities. Assist and manage client services and management projects, as directed. Maintain close relationships and act as key point of contact with sales, trading, research, internal partners and external vendors. Recognize, escalate and provide guidance to team regarding status of priorities.
KEY ACCOUNTABILITIES:
- Provide administrative support including Travel arrangements for the Team
- Ensure the timely processing of expenses and payment of Account Payables
- Other duties as assigned and participation in special projects that are assigned by from time to time
- General assistance with all client-related services, including corporate and analyst marketing, and ad hoc situations.
- Corporate Marketing - back-up and/or manage corporate marketing schedules as directed. Liaise with corporate management teams; follow up with feedback and correspondence
- Document procedures, process client services related expenses, update databases, track budget vs. expense data, generate correspondence with related vendors and internal teams
- Co-ordinate expense submissions to Finance, track prompt payment of invoices and reconciliation of expenses
- Identify issues, escalate as required. Prepare reports on demand from various sources for management review
FUNCTIONAL COMPENTENCIES:
The role requires knowledge of the bank practices, guidelines and relationships. Incumbent must be able to work in a fast-paced trading floor environment, possess relationship building skills and multi-tasking abilities, and demonstrate an eagerness to work in a team environment
- Proven performance in a fast-paced, team environment
- Capital markets experience an asset
- Adaptability and professionalism
- Ability to work with confidential, non-public information
- Excellent analytical, decision making and organizational skills.
- Self-starter in a variety of areas, including: market risk management, credit, operations and/or finance
- Database experience (including MS Office, CRM and database work)
- Knowledge of internal operations within the organization an asset
- Effective time management skills, highly detailed and strong communication skills
EDUCATION AND ACCREDITATIONS:
- Post secondary education required. Financial and industry course completion an asset
