GENERAL SUMMARY:
This position is responsible for providing administrative support to the administration and staff of the College of Social and Behavioral Sciences. The Administrative Assistant is responsible for supporting processes that include: general administration, faculty payroll, faculty hiring, faculty mentoring and scheduling.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
General Administrative Duties:
- Support logistics, create agendas, and take notes for college meetings.
- Create and submit expense reports and invoices to appropriate departments for reimbursement.
- Update college websites and other systems.
- Monitor college-specific list serves, Turnitin.com, textbook orders, and portfolio information.
- Assist in preparation of licensure, field training and higher learning commission information/materials.
- Track dissertations, KAMs, and Thesis, and exams for payment purposes.
- Maintain information for course catalog, databases, annual report, and course rosters.
- Answer incoming and making outbound calls, make travel arrangements for staff and administration, prepare other materials via Word, PowerPoint, Excel for meetings and other events.
- Order supplies and keep all office equipment operational.
Faculty Payroll:
- Monitor payroll tool.
- Investigate payroll errors and find solutions.
- Reconcile full-time faculty salaries and/or workload.
Faculty Hiring:
- Send New Hire Paperwork documents to potential faculty members.
- Compile appropriate new hire paperwork documents for new faculty. Prepare personnel files for new faculty.
- Request appropriate access for new faculty into Walden systems.
- Schedule New Faculty Orientation for new faculty members
- Serve as point of contact if potential faculty members have questions about paperwork.
Faculty Mentoring:
- Collect mentoring information from appropriate program director.
- Enter student/faculty mentoring information into database.
- Update Faculty Mentor database for each program within the college.
Scheduling:
- Create and distribute Assignment Letters to each faculty member.
- Keep database/spreadsheet of assignments.
- Enter faculty assignment information into student information system.
EDUCATION and/or EXPERIENCE:
- Bachelor's degree required and 1-3 years of experience.
- Secondary education or a degree in a business school, trade school or an associate degree or equivalent experience preferred.
- Must possess strong MS Word, Excel and Power Point skills as well as excellent verbal and written communication skills.
