ADMINISTRATIVE ASSISTANT/LIFE INSURANCE PROCESSOR
Trinity Financial Partners is a small, independent and comprehensive wealth management firm with offices in Wayne (primary) and Allentown. Our firm provides financial planning, estate planning, investment management, life, disability insurance and long term care insurance to our clients. We are seeking an administrative assistant/receptionist / life insurance processor. This position reports directly to the two Principals of the company (who are bible-believing Christians and have a weekly devotion as part of the firm meeting). Trinity is a member of the premier insurance producer group which offers significant outside resources and training.
Insurance (Life, Disability Long Term Care) Responsibilities:
- Prepare client files for upcoming meetings including preparation of insurance inventories, statements, product features, meeting notes, and basic client information.
- Complete and monitor status of new applications
- Underwrite clients for insurance, monitor the process, and deliver approved policies
- Work with vendors to arrange medical exams, order Attending Physician Statements (APS) and inspection reports
- Request and/or run policy illustrations
- Evaluate existing policy ledgers against the current marketplace
- Process change forms (beneficiary, owner, and absolute/collateral assignment) for existing policies
- Process claim forms for life insurance, long term care, and disability policies
- Monitor late premium notices, alerting clients when necessary
- Maintain client files in such way as to ensure accuracy, efficiency, and accessibility
- Ensure that all client interaction is recorded into client database notes and that insurance documents are scanned and properly filed
- Cultivate relationships with providers to maximize the use of resources that are offered
Administrative Assistant/Receptionist Responsibilities:
- Create a wonderful PROFESSIONAL first impression to clients over the phone and in person
- Answering main phone number and directing calls when appropriate
- Scheduling client appointments
- Create and update all Discovery Agreements and Roadmaps for upcoming client appointments
- Editing transcribed memos of client follow-up notes for Principal review before sending
- Offering hospitality to Principals, clients and other guests (greeting, coffee, etc.)
- Assisting Principals with outside activities (Associations, Board Positions, Travel, and occasional personal requests). This includes membership renewals, creating agendas, travel arrangements, printing directions, phone calls, etc.
- Oversee database entry and maintenance
- Monitoring incoming faxes
- Opening and sorting the mail
- Maintain securities/insurance licensing and renewals for Principal
- Organizing general office files
- Monitoring office supplies and ordering when necessary
- Monitoring food/beverage/water supplies and purchasing when necessary
- Picking up fresh flower for the office each week
- Tracking usage of petty cash
- Overseeing weekly trash pickup
- Manage annual Client event including invitations, menu, nametags, signage, etc.
- Communicate directly with broker/dealer compliance on all external marketing material to ensure approval
- Oversee the delivery of client gifts (yearly magazine subscription at Christmas, etc.)
Ideal candidate will demonstrate proficiency in the following areas:
- Ability to prioritize and MULTI-TASK to effectively manage work flow
- Experience with insurance (mostly life, but DI and LTC would be good also)
- Life Insurance license
- DETAIL ORIENTED and ENJOYS processing work
- Must be able to aggressively push back over the phone on carriers for better underwriting decisions and to unclog cases when they get stuck
- Able to work independently without a great deal of hands-on supervision
- Proficient in Excel, Outlook Word
- Impeccable phone etiquette
- Professional in appearance and well groomed

- Rapid and accurate in keyboard typing
- This position is based out of our Wayne office and will be a full-time position
