Administrative Assistant recruitment

Responsibilities

- Provide strong administrative support to the Fixed Income Portfolio Management Group (PMG) in items such as: Active calendar/schedule management, expense reports, and travel coordination
- Internal and external meeting preparation including scheduling, material preparation/distribution, room set up (teleconference, videoconferencing), and catering/refreshments
- Take a leading role in the coordination and management of PMG meetings and calls
- Coordinate, design, and manage on- and off-site special team events/celebrations
- Assist the Head of Fixed Income PMG and the rest of the team with ad hoc projects as needed
- Daily courteous, friendly interaction with all direct reports, staff and management

Skills Qualifications

- BA/BS Degree required
- 5+years of administrative support experience, preferably for a global organization
- Financial services industry experience strongly preferred
- Strong project management skills and experience preferred
- Ability to interact professionally with all levels of management, employees, clients, and high profile external parties
- Ability to work independently and assume additional responsibilities as required
- Ability to focus and work effectively in a fast-paced changing environment
- Ability to prioritize and manage competing requests
- Careful attention to detail
- Maintain strict confidentiality standards
- Ability to work a flexible schedule, which includes beginning work by 7:30 a.m. and overtime as necessary
- Excellent written and oral communication skills
- Strong/professional telephone skills
- Strong computer skills, including MS Outlook: Word, PowerPoint and excel.
