Purpose: Responsible for the daily operations of all functions and serves as the liaison between the department and organization. The Administrative Manager integrates the department's services with the care center’s primary functions, develops/implements policies and procedures that guide or support service, assesses and improves department performance, and serves as a key promoter of the care center, which strives to meet and exceed the needs of its patients.
Responsibilities:
- Oversees department functions and fills in for employees when needed.
- Provides continuous training and communication with staff of the department.
- Supervises and maintains the productivity of staff.
· Completes monthly work schedules to ensure adequate staffing levels.
· Follows up with patient / customer complaints promptly.
- Takes appropriate action for medical and non-medical emergencies occurring within the office.
- Responsible for overseeing the day-to-day operations of the department and delegates authority to employees.
- Serves as a liaison between departmental staff and other company employees.
- Works closely with other care center managers to ensure the efficiency of the site.
- Tracks and corrects time for employees (monitoring time clock usage). Applies PTO for all employees based on their requests. Processes payroll activities.
- Provides timely and tailored training, feedback, and constructive criticism to improve and expand upon employees’ technique and knowledge; manages the performance appraisal process of employees by maintaining notes on individual employees throughout the year and constructing fair, effective, unbiased, and factual performance comments.
- Provides timely and progressive counseling aimed at correcting performance problems.
- Serves as a subject matter expert to the department.
- Ensures compliance with all applicable industry, federal and organizational guidelines, protocols, policies, and procedures.
- Develops and implements processes and training sessions, leads and motivates staff, ensures thorough/effective dissemination of information, and maintains open lines of communication with employees.
- Interviews, hires, evaluate, and train new employees.
- Responsible for departmental reports and budget and communicate findings to the COO.
- Coordinates and facilitates staff meetings and practice meetings.
- Oversees externships and student help.
- Performs other duties as assigned.
Skills, Education, Experience:
- High School diploma or GED is required, prefer college degree.
- Minimum 3 to 5 years experience in medical office environment.
- Prefers supervisory or management experience in the medical field.
- Excellent communication skills (written and verbally).
- Demonstrate proficiency in personal computer office applications, such as word processing, databases, and scheduling software.
- Strong organizational and time management skills.
- Excellent customer/patient service.
- High level of knowledge of practice management system.
- Possesses a high degree of personal integrity and professionalism.
Physical/Mental Abilities:
- Ability to multi-task.
