Position Overview:
Directs and coordinates services for the organization, which includes office administration, purchasing, vendor management, equipment, data security and maintenance and operations support.
Job Duties and Responsibilities:
- Office Administration
- Oversee and centralize all local office purchasing for supplies and miscellaneous items
- Maintains cell phone inventory and contracts, monitors useage by plan and user, including additions, deletions, contract changes, etc. Verifies monthly charges with Finance and Corporate Technology
- System Administrator for Wauwatosa network; works closely with contracted vendor and branch location to address network issues or concerns.
- Analyze internal processes and procedures and recommends changes to improve efficiency.
- Oversees all office equipment maintenance and rental agreements, manages vendor relationships per contract
- Serves as system administrator for office phone system; troubleshoots problems, makes programming changes for new/deleted extensions, processes requests for system alert changes
- Serves as main point of contact for customer claims; gathers claim information, submits to TPA for processing, works with President on reimbursements
- Operations Support
- Oversees customer contract processes; handles contract billing change forms, generates adjustments to billing reports for senior management, advises Sales for updates to CRM, customer links, etc.
- Serves as administrator for client web portal
- Miscellaneous Duties
- Serves as confidential assistant for Division President and Company President as needed
- Minute taker for company strategic and safety planning meetings
- Serves as main point of contact for processing Certificate of Insurance requests for customers, Sales, vendors and others as needed
Position Requirements:
- Bachelors Degree in Business, Finance or Marketing strongly preferred. Equivalent prior work experience will be considered.
- “Master level” skills required for all MS Office products – particular focus on Excel
- Excellent interpersonal skills required; ability to communicate with all levels in and outside the organization
- Prior experience with process improvement initiatives and project management skills needed
- Ability to work in a fast-paced environment, with multiple deadlines and priorities
- Strong organizational and time management skills needed for this role
