Purpose of the role

The CEO office consists of a small and dynamic team focusing on initiatives that affect Wealth's businesses in Asia.

Some of the key activities include:

• Provide administrative, logistical and analytics support to the CEO Office

• Coordinate and prepare materials for regional, International, and Wealth committees and other meetings

• Coordinate senior visits

Core Responsibilities

• Assist the Business Manager in managing regular committee meetings including coordination, distribution of meeting materials, and follow-up on action items

• Assist in preparing reports, presentations, and/or papers as required for regular committee meetings, including Wealth Exco, International Manco, Swiss Board, Asia Manco, and other internal and external meetings

• Work closely with the regional Finance, COO and logistics functions to provide operational support and analysis

• Provide simple analytics (including ad-hoc analysis, excel spreadsheets and charting), administrative and logistical support for the regional CEO office including among other duties, managing diaries and meeting schedules, printing, scanning and photocopying of meeting papers, arranging business trips and expense claim s etc.

• Maintain proper record and audit trail in accordance to bank policies

• Coordinate itineraries for visiting senior executives and provide adhoc administrative support to them

• Back up the Executive Assistant to CEO, Asia when required

Critical Competencies

• Outstanding communication / interpersonal skills, including the maturity to engage directly with senior management

• Ability to think and work independently with minimum guidance

• Familiarity with banking business operational model and procedures

• Excellent knowledge in Powerpoint, Excel and Word

• A team player who is well-organized and meticulous in details and has the ability to work under pressure

• Good English and fluent Chinese

Experience

A minimum of 3 years work experience in administrative, secretarial or analytical support role in banking industry
