We are searching for a new AP Clerk/Travel Coordinator to join our team; a highly motivated, self confident individual, who demonstrates the ability to adapt and thrive in a fast-paced dynamic environment.  This candidate must possess initiative to build relationships with managers and employees.  The desired candidate will be detail oriented with a willingness to advance their skill sets and have excellent customer service and phone skills.  This person will report to the company’s Assistant Controller.

 

Duties and Responsibilities include:

AP

·         Process credit card transactions;

o        Distribute monthly statement for Managers to review, Follow-up with Managers to maintain timely month-end/yearend closing schedule;

o        Ensure all transactions have accompanying receipts with proper job and G/L coding, enter and post accordingly;

o        Contact vendors for missing receipts;

o        Contact credit card company to research suspended credit cards due to fraud prevention and other issues;

·         Assign new purchase orders, review and maintain outstanding PO status in NAV on a weekly basis;

o        Print issued PO’s and match with packing slip and/or invoices when invoices are received;

·         Receive and respond promptly to vendor calls about payment status;

·         Process incoming AP invoices;

o        Match invoice to packing slip;

o        Input PO and job number on invoice prior to disbursement;

o        Disperse invoices to Managers for approval twice a week;

o        Follow up with Managers if there is a delay in approval process to maintain the two day turnaround timeline;

·         Assist with processing AP invoices in NAV;

·         Provide back-up when needed for uploading weekly AP check run list to bank;

·         File paid invoices and create new labels for files;

·         Complete new vendor account paperwork;

·         Review monthly statements from vendors and request copies of outstanding invoices;

Travel Coordinating

·         Arrange and book flights, hotels and car rentals;

·         Properly communicate travel itineraries to travelers;

·         Back-up travel coordination for all the regions;

Additionally

·         Phone coverage;

·         Send out monthly AR statements to clients;

·         Other duties as assigned.

 

Requirements:

·         All employees must be legally authorized to work in the United States.

·         Ability to maintain and protect the sanctity and confidentiality of company information.

·         Must have excellent organizational and time management skills.

·         Previous experience with Microsoft Dynamics Navision (NAV) or similar accounting software is a plus.

·         Must have excellent verbal and written communication skills.

·         Proficient with computers/typing, MS Office (especially Excel, Access, Word) and ten-key.

·         Ability to work with a team and independently.

·         Must submit driving record for the past three years.

·         Pre-employment drug test.
