Application Coordinator - Epic

Plans, analyzes, coordinates and directs activities related to KP HealthConnect application. Maintains in-depth knowledge of applications. Serves as bridge between end users and KP HealthConnect implementation staff. Serves as primary resource to major application or application group. Evaluates software and operations. Collaborates with KP HealthConnect and end users to tailor system to organization. Analyzes workflow process, data collection, report details, and other technical issues associated with use of application. Develops and documents internal procedures used in conjunction with application. Serves as primary support contact and coordinates questions and issues regarding application. Develops and assists with training applications. Essential Functions: - Plans, analyzes, coordinates, and directs all activities related to KP HealthConnect applications for life of application - Maintains in-depth knowledge of application. Serves as bridge between end users and KP HealthConnect staff - Configures applications and related interfaces. Analyzes problems and recommends solutions using effective communication skills with providers, department managers, units, and other related personnel and outside vendors. Maintains system application operations at maximum performance with assistance from information services and telecommunications experts and vendors - Serves as system administrator for applications and related interfaces. Formulates solutions using effective communication skills with providers, department managers, units, and other related personnel and outside vendors - Analyzes business operations and workflows. Assists in tailoring/building application to organization. Documents internal procedures and recommends changes in procedures and workflow to fit organizational needs - Directs workflow of system application to ensure timely access for clinicians and other staff - Serves as site analyst/specialist during deployment. Researches and analyzes data, questions, and issues from users. Develops and implements solutions. Reports status updates to supervisor - Coordinates functions and needs of clinicians, units, ancillary departments and other organizational units within hospital and region to facilitate communication regarding automated medical record system application processes. Collects information regarding potential enhancement needs - Evaluates and recommends education/training for appropriate staff. Assists trainers with system application in-service meetings and user training. Presents new and revised policies/procedures specific to system application functions and new/revised workflow processes - Analyzes new functionality in new releases. Evaluates impact to current workflow processes. Maintains rules for how each version is released - Provides problem identification and data gathering. Executes implementation of strategy actions that are in best interest of system applications - Oversees and/or conducts review of technical questions, software upgrades, and changes with users. Works with users on sharing of data, master files, and category lists - Analyzes new technology related to system applications. Recommends procurement as deemed appropriate to enhance system service levels. Supports maintenance contracts for application as necessary. Interacts with vendors seeking competitive prices and equipment for system and interfaces. Arranges for maintenance contracts for application as necessary - Conducts testing of upgrades and new releases. Communicates needed changes to KP HealthConnect before users are given access to new release - Additional essential functions as listed in the complete job description Qualifications: Basic Qualifications: - Three years of application analysis and coordination experience, OR Five years of professional/technical experience in health care involving clinical workflow/operations or clinical systems support - Project management experience - Bachelor's degree in computer science, business administration, public health, health information administration, or related field or equivalent related experience - Certification in one or more applications by Epic Systems Corporation (must obtain within one year of hire) - Familiarity with implementation of automated systems and working with software vendors - Demonstrated knowledge of and skill in adaptability in change management, organization, time management, group presentations, group process facilitation, interpersonal relations, oral communication, problem solving, quality management, systems thinking, teamwork, written communication, project management, people management and team building - Demonstrated knowledge of and skill in word processing, multimedia presentations, spreadsheet, and database PC Applications Preferred Qualifications: - One application in an inpatient clinical application - Knowledge of Kaiser Permanente work environments and work culture - Knowledge of CMS and DOH health care/finance regulations - Knowledge of TJC, NCQA and other health care accreditation requirements
