Job Summary:
The Assistant Controller / Office Manager is an accountant with advertising IT / Video online marketing experience who will assist with management of the office in addition to management of all billing / AR AP. The Assistant Controller / Office Manager will supervise all accounts payable, accounts receivable, and billing functions, assist the CFO with general ledger activity as well as the preparation of bank and general ledger reconciliations, process journal entries and reconciliations for monthly general ledger closing, provide assistance to the CFO in preparation of monthly, quarterly, annual financial statements, assist the CFO with office management duties, handle special projects as assigned by CFO, and manage weekly / monthly timesheet and expense reporting.

Roles/Responsibilities:
• Assist in improving and streamlining AR / AP / Billing processes
• Create and present monthly management reports
• Maintain centralized list of billing contacts
• Escalate all receivables aged 45+ days past invoice date to the respective Salesperson
• Reconcile vendor invoices against payable data within 20 business days of the receipt of the invoice
• Reconcile payment activity against the remitted payment details
• Escalate all unpaid vendor invoices that are aged 45+ days past receipt of the invoice
• Assist in the collection process of past due accounts receivable as needed
• Assist project managers on client queries and requests
• Month / Quarterly / Annual reconciliation
• Coordinate client billings to ensure timely and accurate processing each month in accordance with the terms of the client's agreement.
• Draft, edit and finalize invoices for client, working closely with Account Manager
• Interact with client finance team on billing issues, purchase orders and deadlines.
• Provide monthly reconciliation of amount pre-billed (where applicable).
• Maintain trackers of overall accounts including amount billed, approved budgets, inter-company budget allocation tracking, year to date fees and expenses for each account, aggregate amount per office and client in total
• Review client job jackets to ensure that they are complete.
• Match supporting documentation of expenses to draft invoices.
• Provide details of billing and expenses to account managers and client as needed.
• Ensure that invoices are mailed in a timely manner and in accordance to the contract
• Work closely with account managers to ensure that they stay within the approved budget.
• Set up jobs in the billing system including budgets, billing plan, etc as detailed in the Statement of Work.
• Provide other general support to account managers as needed
• Obtain copy of the statement of work and purchase order prior to setting up new projects.
• Ensure up to date purchase orders are received for new projects or for revised budgets.
• Maintain contract conditions in the billing system for all jobs
• Interface with other Kantar offices ensure the timely receipt of invoices for Intercompany reporting purposes.
• Create finalize inter-office agreements upon request.
• Facilitate communication with finance contacts in other offices
• General ledger analysis
• Bank reconciliations
• Assist CFO with quarterly and annual budgeting / forecasting for year-end review
• Process journal entries
• Ensure all Travel Personal Expense sheets are submitted and approved in a timely manner
• Liaise between Kantar Video and building management
• Manage the on-boarding process of new employees
• Assist the CFO with inventory and asset management
• Assist the COO and other staff with Maconomy / BTA travel and expense reporting

Minimum Qualifications:
At least 3 - 5 years of accounting and finance experience required
• Digital agency, digital media and/or digital media/marketing research.
 
• Relevant enterprise software experience required, Maconomy a plus
• Experience with online and/or mobile video technologies and TV preferred
• Bachelors Degree required, advanced education and CPA a plus.
