Purpose of the Job
Assist in maintaining Private Banking client relationships, answering clients' enquiries, day to day account operations including all aspects of the trade booking system and supporting Private Bankers (PB) in their absence.
Principal Accountabilities
• Working closely with the PB to quickly and accurately process transactions within cut off times and to ensure zero operational losses.
• Working closely with PB to ensure availability of funds prior to transaction processing and signature / instruction verification procedures are followed without fail.
• Booking with clients and dealers as well as inputting the following :
Þ deposits loans transactions (new, rollover, refund);
Þ securities transactions (place market limit orders, monitor the expiring limit orders and renewing them; amending limit orders e.g. price and quantity;
Þ checking confirmation/DCD inputs with Zurich to ensure inputs are error free.
• Coordinating settlements of transactions with PB and/or client.
• Sort and review daily reports for PB's verification, assist in preparation of anti- money laundering reports.
• Prepare daily reports to monitor upcoming action e.g. maturing bonds, corporate actions etc.
• Filing of reports.
• Liaise with Operations to ensure clients instructions are carried out, and to rectify any operational discrepancies if necessary.
• Advise clients that instructions have been carried out.
Coutts Internal Procedures
• Work together with PBs in meeting all compliance, operational and due diligence requirements.
• Comply entirely with Coutts code of conduct and best ethical practices whilst maintaining strict confidentiality.
Client contact
• Meeting clients who call at the office in the absence of regular PBs (together with a back-up PB) and accompany PBs on client calls when required to facilitate follow ups and prepare reports.
• Handling incoming enquiries from clients.
Preparation of reports/presentations
• Credit Applications: new and renewals
• Assist in keeping track of PBs' AUMs Revenues on a monthly basis
• Work with PB to ensure the Account opening documentation is prepared and completed correctly, verified and submitted for approval to local booking centre and to other booking centres.
• Prepare presentations and proposals, and send out various promotion items to clients on request by PBs.
• Prepare special reports for team as required by Senior Private Bankers - Team Leaders to monitor securities holdings.
Servicing client investment needs
• Periodic calculation of account performance.
• Follow up on orders placed with other booking centres to ensure everything is in order.
• Prepare credit proposals.
• Keep track of outstanding FX positions as well as other limit orders.
• Assisting PB in preparation of investment recommendations to clients.
Teamwork
• Work as a team with all other staff
• Maintain strong ties with major offshore booking centres
