Position:Assistant to Budget/Project Administration

 

Classification: Administrative Staff- Full-time – 2080 hours/year

 

Reports to: Budget/Project Administrator

 

Description:             The Assistant to Budget/Project Administration provides support for the university budget, project administration, and assists with preparation and distribution of board committee reports. The Assistant to Budget/Project Administration also provides clerical and receptionist support within the office of the Vice President for Finance and Administrative Services.

 

Responsibilities:

 

Budget Support:

·         Provide accurate data entry of budget information

·         Update budget as necessary

·         Respond to requests for budget information and reports

Preparation and Distribution of Board Reports:

·         Provide assistance to the Budget/Project Administrator and other finance and administrative services senior managers with board committee report preparation

·         Assist the Budget/Project Administrator with production, publishing, and distribution of board books and other booklets, handouts, and packets for board and committee meetings

Budget/Project Administration Support:        

·         Responsible for support of the Budget/Project Administrator

o   Handle all incoming and outgoing mail

o   Coordinate all duplication, printing, and mailings

o   Purchase office supplies and equipment

o   Maintain files

o   Provide phone support

o   Oversee document imaging

·         Provide 990 reports as requested

·         Perform other duties as assigned

 

Qualifications

 

            Education and/or Experience:

·         Bachelor’s degree in relevant area preferred

·         Proven finance/accounting/communication skills

Technology Skills:

·         Proven computer and keyboard skills

·         Experience with software applications

·         Knowledgeable and adept in Microsoft Excel

Human Relations Skills:

·         Excellent interpersonal skills

·         Effective verbal and written communication skills

·         Ability to work effectively and positively with members of the university’s many constituencies

·         Ability to maintain confidentiality

·         Ability to work and make decisions independently
