ASSOCIATE DIRECTOR / CENTRAL FILING DEPARTMENT

Reporting to the Director – Regional Head of CFD, you will contribute to the initial set-up, participating in the recruitment process and providing procedures to be implemented.  Ensure smooth functioning of Central Filing Department and provide high service quality to the departments.  Manage process, ensure compliance to SLAs, implement strict controls and implement high quality of risk management.  Supervise the team as first check for documents authenticity (against tampering, signatures, etc) validity (date of expiry, etc) and completeness (check list).  Design and monitor controls to be integrated as permanent supervision.  Ensure resource availability for continuous support during business hours and confidentiality and security of both hardcopy and soft-copy documents and protect bank’s interests.  Overall responsibility of Physical Record Management including managing Off-site vendors, ensuring regular checks of off-site location, ensuring upkeep of physical document conditions.  Lead ad hoc initiatives from CFD for enhancement of service scope, improving service quality and addressing concerns at both local, regional levels.  Participate in CFD related initiatives from Global Head Office.  Ensure regulatory requirements are met.  Overall responsibility of management of both Singapore and Hong Kong CFD and disaster recovery and business continuity planning for CFD.

To be considered, you must be a University graduate with background in Document Management and processes of at least 8-10 years experience, preferably in filing / librarian with financial institution / professional firm.  Experience of managing a department.  Service oriented.  Strong attention to detail, quality and accurary.  Strong drive for continued improvement in control and risk mitigation.  Able to multi-task and manage multiple deadlines well.  Enjoy analyzing and view solving problems as a big win.  Possess good interpersonal and team work skills.  Having a good command of verbal and written communication skill.
