Business Unit Overview:
BlackRock’s Global Event Management Team works with internal business groups and marketing partners to deliver the best-in-class events and programs in the industry. We use creative solutions while maintaining key vendor relationships to leverage the firm’s overall purchasing power. The Event Management Team maintains a tight control over brand consistency and tonality as well as project management and budgeting to ensure a measurable return on investment.
Job Purpose/Background:
This is an entry-level position ideal for someone with an interest in event management. There is no travel associated with this position though flexible hours may be required for certain events.
Key Responsibilities:
- Coordinate logistics for select training, employee, and client-facing programs as well assisting with larger events as part of a team environment.
- Research and report creative event options, off-site venues, and entertainment based on program format and budget.
- Responsibilities for this position are primarily carried out on own, though for larger events will be partnered with a senior planner.
- Liaise with building facilities (reception, security, catering, A/V, etc.) to ensure events are properly staffed and attendee experience is consistently warm and seamless.
- Reconcile and record all invoices and billing via BlackRock’s proprietary management systems.
- Build and manage invitation/registration websites through Starcite program.
- Complete Ad hoc requests, including: book conference rooms, order supplies and manage inventory, filing, coordinate and track shipping of event materials, etc.
Skills/Qualifications:
- Excellent organizational and time management skills – job can require juggling several projects at once.
- University degree required.
- Strong knowledge of MS Office (outlook, word, excel, etc.). Concur, Starcite a plus.
- Excellent verbal and written skills.
- Fluency in German, Italian, or French preferred.
- Team player with upbeat and flexible personality who stays cool under pressure.
