Job Description
Title: Bookkeeper/ Inventory Clerk
Pay Range: $11 - $16 hourly Department: Office Administration
Terms of Employment: Full time
Report to: General Manager Consult with: Service Manager and C.E.O.
Job Summary: Primary accounting responsibilities of this position include accounts receivable and payable, payroll, billing, and the general ledger along with other common accounting duties. Primary inventory responsibilities are to receive ship items, monitor and maintain all inventories along with making orders thru Motorola and other vendors.
Accounting Responsibilities
- Representing Communication Evolutions in a wholesome and professional manner.
- Accounts receivable and payable, payroll, T M billing, reoccurring billing and general ledger for Communications Evolutions, Short Mountain Towers, and BM Enterprises.
- Responsible for POS and petty cash boxes and reconciliation of these boxes
- Monthly, quarterly, and annual tax reports
- General Ledger and check book reconciliation
- Cost analysis for business. Help General Manager find ways to cut costs and improve revenues where possible through the bookkeeper’s position.
- Quotes related to business benefits or expenses
- Calling back customers with overdue accounts and finding resolution for collection of payments
- Keeping filing areas inside shop and personal space clean and orderly
- Running errands in town for banking, mail and other various deliveries or pickups
- Helping the General Manager work with and streamline accounting processes and software procedures and reports
- Meet with General Manager monthly to go over accounting reports and overdue accounts
- Other duties as assigned by General Manager
Inventory Responsibilities
- Monitoring all inventory transactions and making sure inventory counts are up to date and correct.
- Receiving all equipment, parts and tools. Responsible for stocking and picking to related orders.
- Responsible for processing incoming shipments and priority purchases daily
- Tracking and verifying the inventory as picked and ready to deliver for all orders.
- Shipping out all outgoing orders. This includes equipment sent to the depot for repair.
- Placing daily orders to Motorola, Vertex and other Vendors
- Updating all new pricing into company software to reflect current costs and sales pricing. Costs will come from vendors and sales pricing to be determined by General Manager
- Updating all orders with status as it relates to inventory
- Keeping inventory locations and equipment clean and orderly. This does not include technicians’ trucks. Assigned technicians have that responsibility.
- Updating customer records with new equipment when it is purchased.
- Running monthly and end of the year inventory reports
- Working with General Manager and Service Manager on streamlining office software processes and reports as it relates to inventory
- Work with Service Manager and Service Technicians to ensure compliance of inventory procedures.
- Negotiating equipment prices and shipping charges with vendors
- Getting vendor quotes for job proposals
- Responsible for stocking drinks and snacks along with reconciliation of money.
- Responsible for ordering office supplies and consumables along with trade show items
- Other duties as assigned by General Manager
Knowledge, Skills, and Abilities:
- Ability to maintain organized filing system
- Good customer service skills, ability to work with the public
- Ability to lift 35 pounds
- Basic knowledge of operating general office equipment such as phones, copier, fax, etc…
Credentials and Experience:
- Experience with QuickBooks
- 2 - 3 + years of Accounting Bookkeeping experience in GL, payroll, cost analysis, tax reports other accounting duties.
- Current and unrestricted drivers license
- High school diploma and Associates Degree in Accounting OR Certification in Accounting
- Proof of basic computer training and knowledge of programs such as excel outlook, word, etc...

Training Requirements:
- A Training program will be setup and discussed with the employee and the general manager or service manager.
